Full Get Started Guide To Set Up A New Organisation and HPIO in Parchment

ℹ️ PRODA can be confusing, if you are unsure about setting up a new organisation, or have not done this before, we have written some short help guides explaining the acronyms & requirements.

The Australian Government has implemented security measures to ensure that only authorised Organisations and Providers can issue electronic prescriptions. Setting this up can be challenging . To make the process easier, we’ve provided detailed step-by-step instructions with screenshots to help you set up your account with us and navigate PRODA.

Sign Up & Set Up Organisation

⚠️ To set up your organisation you should be the Organisation Owner in Parchment, and have a valid HPI-O. If you do not have an HPI-O you will need to apply for one. Any healthcare clinic can apply for an HPI-O, as long as you have the correct documents.

  1. Firstly, sign up for a new account if you have not already done so. Enter your own email and name and accept the email

  2. On the first screen as you login, you will see our onboarding dashboard, fill in your clinic details and click Update, and your clinic address and click update. These should be your generic details that patients will see.

🛑 Note that this is an important step, you will be unable to validate your HPI-O in Parchment if this is not done.

4. Finally, you can input your HPI-O and click Submit, and then Add organisation you will see a success message appear and a badge per below.

Invite Users

The next step is to invite users into your account. If you are a prescriber you can also convert your own account to a prescriber account.

Assuming all prerequisite fields are inputted, your prescriber may start prescribing as soon as they're invited in.

ℹ️ Note: If you are a Prescriber, but want your a Practice Admin to set up an account for you, you can invite a user in as an Admin to help with this. Read more about security roles here.

  1. Click Invite New User or Convert My Role To Prescriber to kick off.

ℹ️ If you are a podiatrist, you do not need to enter a Prescriber Number. If you need help finding prescribers' Prescriber Number or HPII on PRODA you may view articles on this here and if you are an administrator and want to gain access to your Prescriber's PRODA account as a delegate, you can see how to do this here.

  1. Firstly fill in these details

  2. Then input your prescribers other details and click send invitation

  3. You will see a success message if completed successfully

Invite Free Admin Users

ℹ️ You may invite free admin users in to assist with your account. This includes a Patient Assistant who can create and update patients but not view scripts, or an Rx Assistant who can Create and Update Patients, View Scripts and Resend a script that a prescriber has written.

  1. Select the appropriate security role from the list

  2. Fill in their details and click Send Invitation

  3. You will see a success message if completed successfully

Connect Your Practice Management Software/Activate Standalone

Connect Your PMS

ℹ️ Each PMS has a guide to link with Parchment which can be viewed here. If you do not see your PMS in the list, it means we are not integrated with them. Feel free to drop us a line here, and we will follow up with your PMS to integrate, however you can still use standalone mode.

  1. Find your PMS in the list and click Manage

  2. Input your credentials and click submit.

    The below example is for Cliniko, but you may follow these guides for your own individual practice management software. If you do not see your PMS here, drop us a line here and we can reach out to explore integrating.

Enable Standalone Mode

  1. If your PMS is not listed, scroll to the bottom of the integration page and click the Enable Standalone Mode button

  2. Confirm the next prompt

  3. You will see Standalone Mode Activated if successful
